From the comfort of your own workstation, GSS will enable you to:
- View and print financial student support data on your respective Department's graduate students.
- Download student support data in an electronic format (Excel).
GSS is intended to provide academic unit staff with a mechanism for viewing all current fellowship or employment-related remission support information that has been processed for your students.
GSS provides an initial screen with a summary of all of your students' total financial support information for the current fiscal year, separated into two categories: remission, and fellowship. To view detailed information on an individual student's financial support, click on that student's ID #. This will take you to a secondary screen which displays more detailed information on fellowship fees and tuition, and employment-related remission, by academic quarter. You can also download all of the detailed information on your students to an Excel file for your internal recordkeeping purposes by clicking on the "Download Excel File" button on the summary screen.
When using the GSS system, please keep in mind the following:
- The information that you see for your students is a snapshot of the data that is currently reflected in the Office of Graduate Studies' internal database. As graduate student support is subject to frequent changes and adjustments initiated by the student's department and/or other sources providing support, the information contained on the GSS system may only be accurate for a short period of time for some students. It is important that you rely on your own internal records to determine the accuracy of student support at any given time.
- GSS will only display those students whose academic major code falls within your academic department. Students with other major codes outside of your department that your department may be supporting financially will not appear on the listing.
- GSS does not display whether or not a student has actually used the fellowship or remission fee credits, i.e., it cannot display whether a student's fees are actually paid. It only displays graduate student support that is available for the student.
- GSS does not display individual stipend information such as stipend checks issued. It will only display the total amount of a fellowship stipend award and stipend information is not segregated by quarter.
- The GSS system does not display any financial aid that students may be receiving from the office of Financial Aid and Scholarships.
- GSS displays the account/fund information for fellowships and for employment-related fee and tuition remission by academic quarter. In the case of Graduate Student Researcher or Graduate Student Assistant Researcher (GSR/GSAR) appointments, the remission is normally charged to the funding source to which the student's salary is being charged, so they are one and the same. Salary sources for TA/Reader/Tutor appointments are not displayed.
- If a fellowship displayed in GSS does not agree with your records, or you expect to see a fellowship that does not appear, please check to see how recently any new fellowships or fellowship changes may have been initiated. Please bear in mind that it may take up to ten business days for processing fellowships once they are received by OGS.
- If employment-related remission displayed in GSS does not agree with your records, please bear in mind that any employment changes will not appear in the OGS database (or GSS) until at least one business day following the appointment being input into the campus Payroll system. If an appointment has been input into the Payroll system more than one or two business day prior to the date you are viewing information on GSS, and the associated remission does not appear, please contact our office.
- The information contained on GSS is only related to student financial support information for the current fiscal year and is not intended to be a comprehensive reflection of a students' complete record. It does not contain information on citizenry or residency status; Advanced to Candidacy information; transcript information such as grades; fee assessment information, etc. GSS is intended to be a tool to assist academic unit staff in ascertaining what specific graduate financial support, including account/fund information, a student has available at any given time.

What is a UCINetID?
In order to access graduate student support data via GSS, you must also have a UCINetID and password, which is used to authenticate you. The UCINetID is a 3-to-8-letter code that is used to authorize you to gain access to UCI electronic services.
If you already have an account set up with the GSS
administrator, once you log in, you will be able to select the major of the student population that you would like to retrieve.
